  • Online Payment Processing — Payments for coaching services and programs are processed through our client portal, Practice Better, which uses Stripe, a secure, PCI-compliant third-party payment processor, to handle transactions. This integration is limited to financial and billing data: Practice Better sends only payment tokens, card details, and basic billing name/email information to Stripe. Clinical information — including treatment notes, health history, diagnoses, and appointment clinical details — stays entirely within Practice Better and is never transmitted to Stripe. Zion Holistic Health does not directly store your full payment card details.
  • Live Chat / Chatbot Software — We may use live chat or chatbot software to answer questions and assist visitors in real time. Information shared during a chat session (such as your name, email, or the content of your message) may be collected and stored by the chat provider on our behalf.
  • Client Portal (Practice Better) — If you become a coaching client, your health-related information — such as intake forms, lifestyle assessments, wellness history, progress notes, and messages related to your care — is collected and stored through Practice Better, our secure client portal platform, rather than through our general website, email, or chat. Practice Better maintains security and privacy safeguards designed to support HIPAA compliance. Access to the client portal requires a secure client login, separate from our public website.

These third-party providers process data according to their own privacy policies and applicable data protection standards, and are contractually limited to using your information only to provide services to us.

 
4. How We Protect Your Information

We take reasonable administrative, technical, and physical safeguards to protect your personal information from unauthorized access, use, disclosure, alteration, or destruction. These safeguards include secure website hosting, encrypted payment processing, and restricted access to client records.

Please do not send medical records, health history, or other sensitive health information through unsecured email, standard contact forms, or chat. Health-related information should only be submitted through your secure Practice Better client portal account. If you are not yet a client and need to share sensitive health information, please contact us first so we can get you set up with secure portal access.

No method of transmission over the internet or electronic storage is 100% secure. While we strive to protect your personal information, we cannot guarantee absolute security.

 

5. Sharing of Your Information

We do not sell, rent, or share your personal information with third parties for their marketing purposes.

We may share information only in the following limited circumstances:

  • With trusted service providers who perform functions on our behalf (such as payment processing, scheduling, email delivery, or chat support), and only to the extent necessary for them to provide that service
  • If required by law, subpoena, court order, or other legal process

7. Regulatory Compliance Note

Zion Holistic Health is committed to handling personal and health-related information responsibly and in accordance with the Health Insurance Portability and Accountability Act (HIPAA).

To support this commitment, health-related information such as intake forms, wellness history, assessments, and care-related communications is collected and stored exclusively through our secure client portal, Practice Better, rather than through our general website, standard email, or chat.

Payments for services are processed through Practice Better’s integration with Stripe. This payment integration handles only financial and billing data (payment tokens, card details, and basic billing contact information) and does not transmit clinical information, treatment notes, health history, or diagnoses. Stripe does not receive, create, maintain, or transmit protected health information in this integration, Stripe is not engaged as a HIPAA business associate.

Our general website (including contact forms and chat) is used only for non-clinical purposes, such as general inquiries and scheduling. Please do not submit medical records, symptoms, diagnoses, or other protected health information through the general website, email, or chat, this information should be submitted only through your secure Practice Better portal account.
